University Policy on Lock & Access

Lock and Access

Key & Access Card Orders

  • Departmental requests must be submitted by the Business Officer or Key Control Manager via a work order.
  • Submit requests with sufficient lead time. Contact the Customer Service Center (CSC) at 855-234-0579 for guidance. Requestors must confirm card validity with the CatCard office and ensure authorization is granted.
  • Rekeying, lock changes, and access control updates are typically submitted via a work order; large projects may require a requisition.
  • Requests for special security locks, padlocks, keys, or access systems must include written justification and approvals.

Key & Access Card Issue, Return & Loss

  • Unused keys and access cards must be returned to Lock & Access.
  • Lost or stolen items must be reported via a work order the same day they are identified.
  • Theft must also be reported to the Campus Police Department.
  • Departments are responsible for costs related to lost/stolen keys and any required re-keying.
  • Lock & Access coordinates with emergency responders and recommends security updates when needed.

Costs

  • Initial keys and access cards for new or reassigned spaces are covered by project or relocation funds.
  • Additional keys, access cards, and re-keying are charged to the requesting department.
  • Departments may collect refundable deposits for occasional users:
    • Must be applied consistently
    • Cannot be collected from faculty or staff
    • Departments must maintain deposit records

Lock/Unlock Services

  • Departments are responsible for locking/unlocking assigned spaces. FM can provide quotes for remote access solutions.
  • Unlocking services may be available based on staff availability (not guaranteed). ID verification is required, and the service is billable via work order.
